Please read these terms carefully before making a booking with ATS Travel Ltd.

1. About Us
These terms and conditions govern all bookings made with ATS Travel Ltd, a private hire and minibus operator based in Derby, England. By requesting or confirming a booking with us, whether by phone, WhatsApp, email, or our website, you confirm that you have read, understood and agreed to these terms.
ATS Travel Ltd operates under a valid Private Hire Operator's Licence issued by Derby City Council, and holds a Public Service Vehicle (PSV) Operator's Licence for vehicles with more than eight passenger seats. Full licensing and insurance details are provided with every quotation.
2. Bookings and Confirmation
A booking is not confirmed until ATS Travel Ltd has provided you with a written or verbal confirmation, along with an agreed price. Verbal confirmations are followed up in writing (by email, SMS or WhatsApp) wherever possible.
It is your responsibility to check that all details in your booking confirmation, including the date, time, pickup address and destination, are accurate. Please notify us immediately of any errors.
ATS Travel Ltd reserves the right to decline any booking at its absolute discretion.
3. Pricing and Quotes
All prices quoted by ATS Travel Ltd are fixed and all-inclusive of driver time, fuel and standard waiting time unless stated otherwise in your quotation. There are no hidden charges, and we will never charge you more than the price we agree with you at the time of booking.
Prices shown on our website are starting estimates only. Your confirmed price is agreed with our team before your booking is finalised, so you always know the full cost up front.
Late-night journeys and busy dates such as public holidays and the festive season are always priced individually and included in the quote we agree with you, so there are never any surprises added afterwards. The only time your price may change is if you ask for a longer route or extra stops on the day, in which case any additional mileage is charged at our standard rate.
4. Payment and Deposit
To secure your date, we ask for a small deposit of 25% of the agreed hire charge, which confirms your booking. Until the deposit is received, the date and vehicle remain subject to availability, so paying it early is the best way to make sure your journey is reserved just for you.
As is standard practice across the industry, the deposit is non-refundable if you later cancel, as it covers the date we hold for you and turn away other work (please see our Cancellation Policy below). If for any reason we are unable to provide your journey, we will of course refund your deposit in full.
The remaining balance is simply paid on the day of pickup, before or at the start of your journey, unless we have agreed something different with you in writing. If the balance is not settled, we may be unable to proceed with the booking.
We accept cash and bank transfer. Corporate accounts with approved credit terms are invoiced and payable within 14 days of the invoice date. Gratuities are entirely at the passenger's discretion and are never added to our charges.
5. Cancellation Policy
We understand that plans can change. Please note that the 25% deposit is non-refundable in all cases. Any further charge depends on the notice given before the scheduled pickup time, as follows:
- More than 7 days' notice: Loss of the 25% deposit only; no further charge.
- 3–7 days' notice: 25% of the agreed hire charge (covered by the deposit).
- 24–72 hours' notice: 50% of the agreed hire charge.
- Less than 24 hours' notice: 100% of the agreed hire charge.
Any overnight accommodation or other expenses already incurred by ATS Travel Ltd on your behalf at the time of cancellation will also be chargeable.
6. Punctuality and No-Shows
Our drivers will always aim to arrive at the agreed pickup time. If a passenger does not appear or make themselves known to the driver within 30 minutes of the scheduled pickup time, the driver may be stood down. The full hire charge will remain payable in this event.
For airport collections, the first 30 minutes of waiting time (calculated from the last confirmed landing time) is provided free of charge. Waiting time beyond this is chargeable.
7. Delays and Circumstances Beyond Our Control
ATS Travel Ltd will always endeavour to ensure on-time arrivals; however, we cannot accept liability for delays caused by vehicle breakdown, road traffic accidents, severe weather, road closures, diversions, or other circumstances outside our reasonable control.
In the event of a breakdown, we will make every effort to arrange alternative transport to get you to your destination.
We do not accept responsibility for missed flights, train connections or other onward travel caused by such delays. We strongly recommend allowing adequate time in your journey plan and purchasing travel insurance where appropriate.
8. Passenger Conduct
Our driver may, at their absolute discretion, refuse to carry any passenger who is considered to be a nuisance, is under the influence of alcohol or drugs to a degree that may cause a risk, or whose behaviour poses a threat to the driver, the vehicle or other passengers. In such circumstances, the full hire charge remains payable.
Smoking and the use of e-cigarettes are strictly prohibited in all ATS Travel Ltd vehicles, in accordance with UK law.
Passengers are responsible for any damage they cause to the interior or exterior of a vehicle. A soiling charge of up to £250 may be applied to cover valeting, repair and any loss of earnings while the vehicle is out of service.
9. Luggage and Property
ATS Travel Ltd accepts no responsibility for loss or damage to any luggage or property carried in or on our vehicles, however such loss or damage is caused. Passengers are advised to ensure their possessions are adequately insured.
Our driver retains the right to refuse carriage of excessive, heavy or sharp-edged luggage that may damage the vehicle or endanger passengers. Hazardous or illegal items will not be carried under any circumstances.
10. Subcontracting
ATS Travel Ltd may, on occasion, engage the services of associate drivers or partner companies to fulfil a booking, particularly for larger or specialist vehicles. All such partners are vetted by us and hold appropriate licences and insurance. These terms apply equally to all journeys fulfilled on our behalf.
11. Child Seats and Accessibility
If you require a child seat, booster seat or accessibility assistance, please inform us at the time of booking so we can make the necessary arrangements. We will always do our best to accommodate your needs.
12. Route
Our driver will travel by the most appropriate route on the day, having regard to traffic, road conditions and the agreed pickup time. If you wish the driver to use a specific route, please inform us at the time of booking. Additional charges may apply if the requested route is materially longer than our standard route.
13. Vehicle Changes
ATS Travel Ltd reserves the right to substitute a different vehicle or driver at any time if deemed necessary, provided the replacement vehicle is of at least equivalent capacity and comfort.
14. Governing Law
These terms and conditions are governed by the laws of England and Wales. Any dispute arising from a booking with ATS Travel Ltd will be subject to the exclusive jurisdiction of the English courts.
